Using the File Copy Initials Grid
A watermark grid prints on the File Copy of all laser labels, allowing staff to sign off on the prescription. This supports current recommended pharmacy best practices and is consistent with the Alberta College of Pharmacists Health Professions Act.
The grid allows staff to initial the appropriate box after a task has been completed, providing an audit trail that identifies each step of the dispensing process and the staff member who completed that step.
Note: System notes occasionally print across the watermark; this is normal due to space constraints on the File Copy.
The grid displays 4 boxes, which should be initialed in the order described below:
- ORDER ENTRY Enter the details of the prescription into PharmaClik Rx for dispensing.
- ENTRY CHECK Verify and validate accuracy and completeness of the order entry.
- FILL RX Counting and filling the prescription.
- FINAL CHECK Ensure each step of the dispensing process has been completed. The check must confirm that the drug and labelling are correct according to the prescription. It is the responsibility of the pharmacist-on-duty to perform and initial this step.
Note: THE ON DUTY PHARMACIST’S FULL SIGNATURE IS STILL REQUIRED ON THE PRESCRIPTION’S FILE COPY. THIS APPLIES TO ALL PROVINCES, AS PER EXISTING REGULATIONS.
