Propel Rx: Debunking the Myths

The main difference between a myth and a fact is that a fact can be proved while a myth cannot. PTS is your go-to for reliable and accurate facts. Our team of experts ensures you get the truth, not just hearsay. With that in mind, here are seven Propel Rx myths (and facts) about the Propel Rx upgrade.

Exception! There are a handful of stores with outdated hardware that can't support Propel Rx (e.g. PCs that don't support the newest version of .Net, PCs that are still running Windows 7). In those cases, PTS has contacted (and will continue to contact) store owners directly about purchasing hardware. These stores are the exception and not the rule.

 

Good to know! Self-directed eLearning allows owners and pharmacy teams to learn at their own pace and at locations that are convenient for them. All learners are encouraged to register and attend an "Ask us Anything" session. 

 

Important! Each Pharmacy will need to appoint a team member as their Propel Rx Ambassador.   Designated ambassadors will be emailed the countdown to the Propel Rx weekly emails.

4 Things to STOP Doing in Propel Rx

Propel Rx has enhanced the Intake window to streamline data entry. As we return to in person industry events, we heard Propel Rx users weren’t taking advantage of some of the new and enhanced features in this window. Here are 3 things to START doing in the Intake window.

1. Start using the Profile button

Once a patient has been searched and selected, the Profile button becomes available. Prescriptions can be easily refilled or reauthorized. Attachments and notes are carried forward for reauthorized prescriptions and everything can be viewed in a single window.

2. Select Copy Rx to add another instance in the Intake window.

Two prescriptions can be processed together by selecting Copy Rx. This will allow another instance in the Intake window. Think of it as adding another page.

This is an alternative to the “/ ” method you might be using today. Give it a try!

3. Add prescriptions to Data Entry for later.

Ever start an intake prescription that you want to finish later or want someone else at another workstation to continue working on it? Start utilizing the Add to Workbench button to add it to the Data Entry queue.

What You Need to Know About Learning Propel Rx

Excitement has been building around the training required for Propel Rx. Trust me, we share your excitement! You’re already a PharmaClik Rx expert which will make learning Propel Rx easier than you think.

Allow me to walk you through what the learning journey leading up to Propel Rx will look like.

 

Keeping you updated

Getting ready for your upgrade to Propel Rx is made easy through a series of weekly countdown emails beginning four weeks prior to your upgrade, and ending just over a week after the upgrade. These weekly emails contain everything you need to ensure a smooth transition and an even smoother go live day. Remember to check your junk in case these emails end up there!

Enclosed in these emails is a toolkit containing all the critical information and a checklist that will keep you and your pharmacy team on task with the activities required during the four-week countdown.

 

Your eLearning journey

Your team will have four weeks to complete eLearning. With the help of the Retail Learning Academy (RLA), your pharmacy team will be able to learn about Propel Rx at their own pace, when it's convenient for them. Keep an eye out for your "Prepare for Propel Rx" email that outlines your four week journey. You'll also receive an additional email that will contain an RLA enrolment key, where you and your team can then view the assigned curriculum and enroll.

Self-directed learning is engaging and interactive and includes:

1. eLearning

2. Guided demos

3. Hands-on simulations

 

Flexible learning environment

The eLearning courses can be completed on various devices like a laptop, tablet, or a desktop computer. The course window will adapt to your chosen device, allowing more flexibility for your pharmacy team. If you’re unable to complete a course in one sitting, don't worry, it will remember where you left off, so you’re not required to start from the very beginning.

Completing the eLearning prior to being upgraded is mandatory and will ensure that you and your team are familiar with Propel Rx on your Go Live day. You’re already experts with PharmaClik Rx and navigating this new platform will become second nature to you in no time!

The PTS Learning Team hosts weekly live online "Ask us Anything" Q&A sessions. Get a chance to experience Propel Rx with an expert trainer to guide you the along the way. The sessions are designed to support your learning journey and are free to attend for as many times as you need. Drop in for 10 minutes to ask a question or stay for the hour. It's up to you.

Preventing Stock Shortages and Overstock

Year-end inventory counting provides insights into stock levels, allowing the pharmacy to identify slow-moving or expired items. This information is essential for adjusting ordering patterns, preventing overstock or stock shortages, and optimizing inventory levels for the coming year.

WIS and RGIS to assist in your year-end inventory counting.

Both WIS and RGIS are companies that offer year-end inventory counting services. They both provide staff that can assist you in conducting the count. Year-end inventory is typically scheduled to take place after business hours to prevent any disruption in your business.

At the end of the count, WIS or RGIS will provide an output file that can be processed using your Propel POS to update your store’s entire inventory.

Helping those in need

Offering your customers the option to make charitable donations can boost a company's image at truly little cost to the business. Although donations may be smaller than direct donations to a charity, even small contributions can make an enormous difference to local charitable organizations. It is important to note that your charitable efforts should support the causes your customers care about. By doing so, you may increase donations and gain customer trust and respect, building stronger customer loyalty.

Make it easy to donate

Point of Sale fundraising has become widespread in retail and consumers are accustomed to being offered the opportunity to donate at the end of their transactions.

Those inclined to give, will readily add a donation to their purchases. With the Holiday season quickly approaching, take the opportunity to use Point of Sale to offer customers the opportunity to easily donate to local charities.

How it works - Propel POS Donations Editor

The Donations Editor can be found in the Associates menu of Propel POS will help you to manage the collection and reporting of funds donated to a single or multiple charitable causes. Donations are setup very much like promotions, with beginning and end dates for easy activation.

Once activated, donation events automatically prompt the cashier to ask the customer if they would like to donate to any of the displayed charities. Customers are offered the opportunity to donate a “default value” of $1 or $2, a “custom value” determined by the customer or options to “round-up” to the nearest dollar, five dollars or ten dollars.

All donations will be associated with a Donation Event, showing dates, transaction numbers and donation values. In addition, full reporting is available per charitable event, allowing you to see the total amounts donated at any given time. Donations also appear on your end of day Cash report generated by Transaction Log viewer.

How to Get the Most out of Your Propel POS System

With so many beneficial features in Propel POS, I’d like to share with you my five favorites that make the day-to-day task of running a business so much easier.

 

The POS Mobile Mini is a must have!

The POS Mobile Mini is by far my favourite feature of Propel POS.  It’s a handy little device that you can use on the sales floor to complete the never-ending list of front shop tasks. With the Mobile Mini, you can be on the sales floor to do price changes, add items to a promo, set your min/max reorder values, create a purchase order and even do inventory counts.

The POS Mobile Mini is a timesaver as you don’t have to do any of these features at a computer. It will help increase your margins through improved management of inventory and pricing too.

 

Propel POS fully integrates with PharmaClik Rx and Propel Rx.

Rx/POS integration allows for real time communication between the Rx and POS software.  The three components to this are:

  • Prescription scanning. Each time a prescription is filled, information is passed from the Rx software to Propel POS. Prescriptions scanned at the Propel POS till automatically register the amount due for payment and the prescription number. In turn, Propel POS sends a message back to the Rx software indicating that the prescription has been picked-up by the patient. This allows Propel Rx or PharmaClik Rx to track and report which prescriptions have been picked up and which are remaining in the store.

  • OTC Transfer allows the front shop inventory to be transferred into dispensary inventory when a front shop item is used for a prescription.  Propel POS transfers full packages to Propel Rx or PharmaClik Rx inventory, allowing for real-time inventory management in both systems.

  • A/R Integration provides real-time Propel Rx or Propel Rx Accounts Receivables posting to Propel POS when filling prescriptions; the cash portion of a prescription can be automatically billed to a patient’s POS charge account. This saves you from having to manually scan the prescriptions at the till and charge it to the account.

 

Integrated debit/credit pin pads at the till make life simple.

Having integrated pin pads helps increase the speed and efficiency at the checkout and it also eliminates keying errors at the till.  It is easy to use at the till, as there is only one key to debit and credit.  The till will determine the type of payment for you, so no more putting a debit under a credit. This will also make it easier to balance the till at the end of the night.

 

Use Replenishment Ordering to order only what you need.

The Replenishment ordering module is another one of my favorites. It’s especially useful for stores that are not keeping track of their front shop inventory or for a store just starting with POS.  You will be able to generate an order based on what was sold at the till within a date range. This saves time from walking around the store to determine what was sold. This also ensures that you are only re-ordering items that you need.

 

If you have two to four stores, POS MultiStore is a great solution to manage your locations from any site.

Reduce redundant data entry and ensure consistency across your locations with a shared product file, inventory quantities and promotions. Your customers that have charge accounts will be able to make charges at any location to one account. Also, if you have a loyalty program, points can be earned and redeemed at any location.

Get the Spare Keys to Your Business

Data Backup and Recovery and Cybersecurity are not interchangeable and do not offer the same protection, but together, they provide the stability and safety your business and customers deserve.

4 Ways to Quickly Recover from Crisis

Common crisis scenarios happen every day in pharmacies.  Ensuring there’s a recovery plan in place that reflects your business needs is the key to minimizing risks to your pharmacy’s day-to-day operations. Read about four everyday scenarios that can easily be prevented.

How to manage an internet outage with little to no interruption

Pharmacy technicians are processing compliance packaging batches for the week. Claim adjudication becomes agonizingly slow and claims begin to fail. There are now a large number of failed claims to resubmit. To make matters worse, the wait time for walk-in patients has doubled due to the slow claim adjudication. It turns out there is an internet service outage, and pharmacy claims have defaulted to dial-up adjudication. With the internet out, pharmacy team members also can’t access key patient care resources, and risk missing the daily order cut-off time.

Solution

Bell Fibe internet service strengthened by wireless LTE Internet backup, providing fast, reliable uptime. In the event of an internet service outage, connectivity automatically switches to Bell’s LTE cellular network. Most importantly, pharmacy claims and debit/credit transactions continue processing smoothly, with no impact to your business. It’s business as usual!

How to avoid lost opportunities

It’s Saturday afternoon. The store is busy and there is a steady line of customers at the checkout; a perfect day for any retail business owner, until debit and credit transactions start to fail.
